Nomination Process

Nomination Ballots are unique to each Award Category and can be obtained by submitting an email request for the appropriate Award Category Ballot form.

A person or team may be nominated in only one group/category. Judges reserve the right to re-classify any nomination to a more appropriate group/category, to contact the nominator and/or request supporting materials. Nominations are accepted in both official languages.

NOTE: With changes made to the Ballot form, the use of previous year’s ballot form will not be accepted. To submit your request, please go to the Request for Ballot form and fill in the form made available online.

Eligibility

In all three groups (Federal, Provincial, and Municipal), awards will be given for initiatives, projects or accomplishments which realized tangible results (with supporting Endorsement documentation) during the period June 1, 2011 to May 31, 2012. Submissions related to initiatives or projects of all sizes and any scope are encouraged. Again, the submitted project / pilot / initiative must be completed in the timeline above, with supporting Endorsement documentation, otherwise the submission will not be considered.

To qualify for an award, persons nominated must be employed as an indeterminate, term, or equivalent employee in the respective level of government (including persons employed in the military, RCMP, crown corporations, boards and agencies) at the time of their nomination.

As a general rule, it is assumed that Deputy Ministers and Assistant Deputy Ministers, or those of equivalent ranks within government organizations, have already been widely recognized as innovative and successful leaders by virtue of their appointments, and will not be considered eligible for these awards.

Nominations which were not successful in a previous year's Distinction Awards Program may be re-submitted only if it can be clearly shown that the nominated project has made substantial progress and achieved tangible new results or accomplishments.

Mandatory Requirements

  • Must be in the Public Sector
  • Must be a Team or Individual
  • Must be Completed - Project Completion (timeframe)
  • Must have received Executive Endorsement (sign-off or endorsement letter)
  • Must be related to Technology (but not just IT)
  • Must fit into one of our categories

Evaluation Rated Requirements

All nominations will be rated amongst Innovation and Category Qualifying questions. Please refer to Tab – Evaluation Criteria and Awards Category Definitions. Please note that Category Qualifying questions are unique to each category.

Judging

The judging of nominations will be conducted in two stages. First, SCOAP will screen all nominations for the awards, and identify those who will qualify as Honourees in all groups. SCOAP is a non-profit association, dedicated to exploring achievements and issues related to the management of information and technology on people, companies and society in the knowledge-based economy. Second, separate panels of senior officials from all levels of government and the private sector, will be appointed by GTEC, to judge the Honourees in their groupings: Federal, Provincial, and Municipal.

Decisions of all judging processes are final. Once Honourees are selected, all names listed on the ballot form will be notified approximately two (2) months prior to the event.

RECOGNITION:

A reception recognizing all honourees will be held October 11, 2012 at the Ottawa Convention Centre. Each honouree will be announced by group at the Distinction Awards 2012 Gala, to be held on November 5, 2012 and only one (1) medal winner per category totaling up to 18 medals can be won each year.

Preparation of Nominations

A person or team may be nominated in only one group/category. Judges reserve the right to re-classify any nomination to a more appropriate group/category. Nominations in either official language are acceptable. However, if a nomination is selected as an Honouree, the information provided will be required in both official languages. The Nomination Ballot form must be submitted as a Word Document and not PDF and must not exceed the 10 page limit.

Nomination Submissions

All nomination ballot forms must be received no later than 11:59 p.m., Thursday, May 31st, 2012. "NO EXTENSIONS". If you are unable to submit your nomination ballot by this deadline, unfortunately, your nomination cannot be considered.
